ASPENCADE RULES AND REGULATIONS


What we need:

  1. Completed application with pictures of your work.  (Imported or embellished items are NOT allowed)
  2. A current copy of your NM Tax ID Certificate for new vendors – a Tax ID # only for returning vendors
  3. Your check, money order or credit card information for booth payment

 Your application will NOT be considered until the above three items are present for the committee’s review.

*       This is a Juried show and will be voted on by the Aspencade Committee.  All items sold in booths must be handmade or handcrafted by the person or persons in that booth. No merchandise can be in the booth if that person is not present.  

*       Imported items that are simply embellished will NOT be accepted.  The Chamber of Commerce reserves the right to exclude any entries not meeting these requirements. The Committee will be present during the show and WILL ENFORCE these guidelines.  The Committee reserves the right to deny vendors who have violated this policy in the past.

*       To get a NM Tax ID Certificate, contact Town Hall at (575) 754-2277 or the NM Taxation & Revenue Dept. at (575) 827-0951.

*       Deadline for Early Bird Registration is due no later than August 1, 2011.

*       Regular Registration is due no later than September 1, 2011.

*       Electricity is an additional $50 fee.

*       There will a Vendor’s Meet and Greet on Friday from 8:30 a.m. to 9:00 a.m. to kick-off the weekend.  Donuts and coffee will be served.

*       Security will be furnished Thursday, Friday & Saturday night. Each vendor should be prudent in the overnight storage of merchandise.

*       Please plan on operating your booth until 4:00 p.m. on Sunday.  The raffle drawing for the Red River Stimulus Checks of $4,000, $2,000 and $1,000 Cash Drawing willbe at 3:30 p.m.

*       If you will not be utilizing the Event Package pricing we are happy to once again offer both inside and outside booth spaces starting at $200 for a 10x10 space, $300 for a 10x20, and $500 for a 10x30.  For more information on the Event Package please contact the Chamber of Commerce at 575-754-2366 x 1.

*       JEWLERY VENDORS WILL BE LIMITED TO TEN (12) and will be divided between indoor and outdoor venues.

*       If your craft produces any residual waste (sawdust, shavings, etc.) you will need to purchase an outside booth and be responsible for cleanup. All food vendors will be placed outdoors. Vendors are responsible for their own trash.

*       NO DOGS ALLOWED inside the Conference Center.

*       Vendor will be solely responsible for setup and breakdown of their booth – no assistance will be available. 

*       Vendor must provide their own display products i.e. tables, tents, chairs, and extension cords.

*       Cancellation:

    1. If you cancel before September 1, 2011, a $25 handling fee will be charged
    2. No refunds after September 1, 2011

*       Schedule:

    1. Vendor Set-up (Must Wear Badge) - Thursday - from 9:00 a.m. until 6:00 p.m.
    2. Vendor Set-up (Must Wear Badge) - Friday from 7:00 a.m. until 9:00 a.m.
    3. Crafter’s Eye Opener inside Conference Center - Friday from 8:30 a.m. until 9:00 a.m.
    4. Vendor Hours (Must Wear Badge) - Friday - from 7:00 a.m. until 6:30 p.m.
    5. Vendor Hours (Must Wear Badge) - Saturday - from 8:30 a.m. until 6:30 p.m.
    6. Vendor Hours (Must Wear Badge) - Sunday - from 8:30 a.m. until 4:00 p.m.
    7. Vendor Break-down (Must Wear Badge) - Sunday - from 4:00 p.m. until 6:30 p.m.
Lodging: Lodges offering discounts are: Terrace Towers Lodge, Arrowhead Lodge, Ponderosa Lodge, Lifts West Condos, and Alpine Lodge. Please remember that Red River Town Ordinance does not permit camping within town limits – Vendors are not allowed to sleep on-site at the event. If you are sleeping in an RV you must be registered at a local RV Park or campground.  They are as follows:  Red River RV 800-670-3711 or River Ranch Lodge & RV Park at 575-754-2293.
